Privacy Policy

This Privacy Policy explains how TalkLens ("TalkLens", "we", "us") collects, uses, and shares information when you use our website and mobile apps (the "Service"). TalkLens provides live captions, translation, and AI-generated notes for talks, lectures, and meetings. TalkLens is operated by Throughput LLC, doing business as TalkLens, a Washington limited liability company with its principal place of business in Kirkland, Washington, United States.
Information we collect
- Account information. When you create an account with an email address and password, we collect your email address and name, store only a salted hash of your password (never the password itself), and send you an email to verify the address. When you sign in with a third-party provider (e.g., Google or Apple), we receive your name, email address, and profile image; we do not receive or store your provider password.
- Audio recordings. When you record a talk, we capture audio from your device's microphone and process it to produce transcripts, translations, and notes. Audio you choose to save is stored so you can play it back later, until you delete it. If you do not turn on Save audio, we do not store the audio: it is streamed to our speech-to-text provider to produce live captions and is never written to TalkLens storage. When you use on-device transcription (available on supported iPhones), speech recognition runs locally on your device and the live audio does not reach our servers at all. Audio files you upload for transcription pass through a temporary staging area on our infrastructure that is cleared within about one day. Live broadcasts relay captions and translations to viewers as text only; your audio is never sent to or stored for broadcast viewers.
- Transcripts and generated content. Transcripts, translations, AI notes, chat messages, and bookmarks you create through the Service.
- Uploaded materials. Slide decks or agenda files (PDF/DOCX/TXT/MD) you upload to tailor your notes.
- Payment information. When you buy AI credits on the web, payment is handled by our payment processor (Stripe). When you buy AI credits in our iOS app, the purchase is handled by Apple's In-App Purchase. In either case we receive and store a record of the purchase (such as the credits and pack purchased, the currency, the amount for web purchases, and the provider's transaction identifiers) but never your full card number or card details. To link an in-app purchase to the right account, we provide Apple a pseudonymous per-account identifier that is generated using a one-way function and does not contain your name, email, or other account details.
- Usage data. Technical and usage information needed to operate and secure the Service: credit ledger entries, referral activity, sign-in session records (which include the IP address and browser or device type used to sign in and are removed when the session expires or your account is deleted), timestamps of key account events, and server logs. When we send you a security notice (e.g., about a new sign-in or a password change), we use your current IP address and its approximate location to describe the event in that email; we do not store that location. We do not use third-party analytics or crash-reporting services.
- Push notifications. If you turn on notifications in our mobile app, we collect a device push token from the Apple Push Notification service (APNs) to send you alerts, such as when your notes are ready. You can turn notifications off at any time in your device settings.
Cookies and local storage
We use only cookies that are necessary to operate the Service: a session cookie that keeps you signed in, a short-lived cookie that keeps database reads consistent with your most recent changes, and cookies our infrastructure provider (Cloudflare) may set for security and bot protection. We also use your browser's local storage for preferences such as your display language. We do not use advertising cookies or third-party analytics cookies.
How we use information
- Provide, maintain, and improve the Service (transcription, translation, notes, chat, search, sharing).
- Process purchases of AI credits and prevent abuse.
- Operate referrals and account features you use.
- Communicate with you about your account and respond to support requests.
- Comply with legal obligations and enforce our Terms of Service.
How we disclose information and the service providers we use
We do not sell your personal information, and we do not share it with third parties for cross-context behavioral advertising. We disclose data to service providers that process it on our behalf to provide the Service, and to payment platforms that complete your purchases under their own terms:
- ElevenLabs — speech-to-text service provider. Audio you record or upload is sent to ElevenLabs to produce transcripts and live captions. We have disabled the data-use setting that would allow ElevenLabs to train its models on content submitted from our account; ElevenLabs may retain submitted content temporarily as described in its API terms and privacy policy.
- OpenAI — AI-processing service provider for translation, note generation, talk chat, and slide-term extraction. Transcript and document text you submit for these features is sent to OpenAI to return results. Under the API terms we use, OpenAI does not use this content to train its models and retains it for up to 30 days for abuse monitoring (longer only where legally required or reasonably necessary to protect its services) before deletion.
- Cloudflare — hosting, storage, security, and infrastructure provider: databases and object storage, security and bot protection, delivery of the emails we send you, and AI processing that runs on Cloudflare's own infrastructure (converting uploaded documents and generating the search index for your transcripts).
- Stripe — payment processor for AI-credit purchases made on the web. Stripe handles your payment details under its own privacy policy.
- Apple — App Store and In-App Purchase platform for purchases made in our iOS app. Apple acts as the merchant for these purchases and processes your payment under Apple's own policies.
We may also disclose information if required by law or to protect the rights, safety, and security of TalkLens, our users, or the public.
Business transfers
If TalkLens is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, your information may be transferred as part of that transaction. We will notify you (for example, by email or in-app notice) before your personal information becomes subject to a materially different privacy policy.
Content you choose to share
Some features make content visible to others at your direction. If you create a share link for a talk, anyone who has that link can view the shared talk until you revoke the link or delete the talk. If you broadcast a talk live, people with the broadcast link or QR code can follow the live captions and translations while you record. Treat these links as access grants: we cannot control who a link is forwarded to.
When you join someone else's broadcast, the name and email address you provide (or those on your account, if you are signed in) become part of the host's attendee list for that talk and are visible to the host. That attendee record is kept with the host's talk until the host deletes it, even if you later delete your own TalkLens account.
Microphone and recording
The Service records audio only while you actively start a recording. You are responsible for obtaining any consent legally required to record other people in your jurisdiction. See the recording-consent section of our Terms of Service.
Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information, including encryption in transit, salted password hashing, and access controls that limit data access to what the Service needs. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Data retention and deletion
How long we keep information depends on what it is:
- Saved talks and audio — until you delete the talk (or its audio) or your account.
- Live audio you do not save — not stored; see "Audio recordings" above.
- Uploaded audio awaiting processing — cleared from temporary staging within about one day.
- Provider copies — OpenAI retains submitted text for up to 30 days for abuse monitoring (longer only where legally required or reasonably necessary to protect its services); ElevenLabs retains submitted audio and transcripts as described in its API terms. These temporary copies expire under the providers' own retention schedules.
- Account deletion — scheduled with a 30-day grace period during which you can cancel by signing back in.
- Sessions and security logs — session records are removed when the session expires or your account is deleted; operational logs are kept for a limited period.
- Purchase and tax records — records of your purchases are retained by the payment platforms that processed them (Stripe, Apple) under their own policies, and we may keep limited records for the legally required accounting period.
- Backups — deleted data may persist in our infrastructure provider's point-in-time backups for up to about 30 days before expiring.
You can delete individual talks (and their audio) at any time; removal from our storage systems begins promptly and completes shortly afterward via background jobs. When you delete your account, after the grace period we delete your personal content from our active systems, except for the limited records described above. Residual copies may remain temporarily in backups until those backups expire. Children
The Service is not directed to children under 13, and users under 13 may not create an account. We do not knowingly collect personal information from children under 13; if we learn that an account belongs to a child under 13, we will delete the account and its data. If you are under the age of majority where you live, you may use the Service only with the consent of a parent or guardian, as described in our Terms of Service. If you believe a child has provided us personal information, contact us and we will delete it.
International users
We operate the Service using infrastructure that may process and store data in multiple countries. By using the Service you understand your information may be processed in locations outside your country of residence.
Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, or export your personal information, or to object to certain processing. Much of this is available directly in the app: you can view and export your talks, delete individual talks (and their audio), and delete your account, as described above. For anything else, contact us at the address below.
Additional disclosures for users in the EEA, UK, and Switzerland
If you are in the European Economic Area, the United Kingdom, or Switzerland, Throughput LLC is the controller of your personal information, and the following also applies:
- Legal bases. We process your information to perform our contract with you (providing the Service you request, including transcription, translation, notes, and purchases); for our legitimate interests (securing and improving the Service, preventing abuse, and communicating with you about your account); to comply with legal obligations; and, where we ask for it, with your consent (e.g., enabling push notifications), which you can withdraw at any time without affecting prior processing.
- International transfers. Your information is processed in the United States and other countries by us and the service providers listed above. Where required, transfers are protected by appropriate safeguards, such as standard contractual clauses included in our providers' data-processing terms.
- Your rights. You may request access to, correction of, deletion of, or a portable copy of your personal information, and may restrict or object to certain processing. To exercise these rights, contact privacy@talklens.io. You also have the right to lodge a complaint with your local supervisory authority.
- Providing data. Account information is required to provide the Service under our contract with you; without it, we cannot offer you an account.
Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above and, where appropriate, through in-app notice.
